Digital Menu: What It Does, What It Costs, When It Pays Off.

A digital menu isn't just "the old menu as a PDF." It's a live system that updates prices, daily specials and languages in seconds — no reprinting. Here's when it pays off and how to start in 60 seconds.

01

What is a digital menu?

A digital menu is the machine-readable, multilingual version of your menu. Guests scan a QR code at the table and see the current menu on their phone. You manage the content in one central editor — new prices, daily specials, or sold-out items show up at the table instantly.

Important: a digital menu doesn't necessarily replace the printed one. Most restaurants run both — printed for table ambience, digital for live updates, multilingualism, and sold-out tags.

02

The 5 real benefits over print

  • Update live, no reprinting. Seasonal change? Daily special? Price change due to supply costs? One click in the dashboard — guests see it instantly. Restaurants save €200-400 per update, five to ten times a year.
  • One-click multilingual. Tourists see the menu in their language (EN, IT, FR, ES, TR, RU, AR, ZH and more). Staff don't translate anymore — saves 5-10 minutes per tourist table.
  • EU allergen-compliant & always current. Allergens and additives are managed centrally, not buried in footnotes. A food safety check just needs a screenshot.
  • Real-time sold-out tags. Out of lamb? Strike it through in the dashboard — guests see "not available today" and order something else. No awkward "we're out of that" mid-service.
  • Higher average order value. Studies show 8-12% bigger tickets when guests read the menu relaxed on their phone vs. rushed at the table.

03

QR code: the heart of the digital menu

The QR code is generated once per restaurant and never changes — even if you redo the menu completely. Meaning: print table tents, door stickers or coasters once. The code always shows the current version. More at QR menu guide.

Placement matters: QR code at least 3 × 3 cm, high contrast, clearly visible at the table edge or printed directly on the tablecloth. Putting one inside the printed menu is also smart — so guests can recheck mid-meal.

04

What does a digital menu cost?

A MenuMagic digital menu costs €49.99/month or €549/year (≈ €45.75/month). Included:

  • Unlimited menus + updates
  • 4 AI designs per menu
  • Live QR menu with daily specials & sold-out
  • 14 languages automatically
  • EU allergen detection (LMIV)
  • Print-ready PDF anytime

For comparison: an agency-designed menu costs €800-2,500 once and is outdated a week after print. MenuMagic pays for itself with the first seasonal change — everything after that is net gain.

Free to try: upload a photo of your menu and see how the AI version looks — no account, no newsletter.

When does a digital menu make sense?

A digital menu makes sense if at least one of these applies:

  • You update your menu at least 2× per year (season, specials, prices)
  • You have regular international guests (tourist areas, big cities, near stations/airports)
  • You run a lot of daily specials or frequently changing items
  • Your menu has more than 15 items (LMIV maintenance gets painful otherwise)
  • You currently have no menu at the table — or one that's perpetually wrong

If you have a very simple, very stable menu (e.g. a kiosk with 8 fixed items), printed is enough. For everyone else, digital + print combined is the honest setup.

Create a digital menu in 60 seconds

  1. Upload a photo of your current menu. Print PDF, phone photo, or scanned flyer — all work.
  2. AI extracts dishes, prices and allergens. You review, fix if needed (rarely).
  3. 4 designs are generated. Pick one — it becomes both your print-ready PDF and your live QR menu.

That's it. The QR code is created automatically, the multilingual translation is instant. Free to try — start here.

FAQ

Frequently asked questions

Do I need technical skills for a digital menu?
+
No. If you can use a smartphone, you can use MenuMagic. Photo in, menu out — done.
Who actually scans the QR code?
+
Practically anyone with a phone — the camera reads QR codes natively since 2020 without an app. For older guests, just mention it or keep a printed menu on the table.
Does the QR code stay valid when I update the menu?
+
Yes. The code points to a fixed URL (`menu-magic.com/m/<your-slug>`) that always renders the current menu. Print once — use forever.
What happens during a power outage or no WiFi?
+
Guests use their own mobile data, which works independently from your WiFi. If your internet drops, our server in Falkenstein (Germany) stays reachable. We still recommend keeping printed backup menus on hand.
